PD-2SL-0002 — TRMN Art Approval Policy (version 1.1) is a Bureau of Planning policy document describing the process for approving TRMN artwork. It was approved 29 April 2020.

Introduction/Purpose

To describe the process for approving TRMN Artwork.

Scope

This Policy Directive applies to all Members of The Royal Manticoran Navy and its Components, Allied Services, Groups and Subgroups (hereafter, TRMN).

Prerequisites

  1. Read the TRMN 2020 Organizational Style Guide.
  2. Download the approved fonts from a free font source (font squirrel, etc.)
  3. Download the appropriate release and approval forms.
  4. Create artwork following the information in the TRMN 2020 Organizational Style Guide.
    1. All artwork approval requests must be accompanied by JAG Artwork & Photography Release Form (and a Model Release Form for all photography with people in it), and BuPlan Artwork Approval Form.
    2. All artwork submitted for approval must be in vector format (.svg and .ai are the two preferred file formats, .pdf with embedded vector imagery is also acceptable).
  5. All requests for marketing and promotional print or media must be submitted no less than three weeks in advance of the due date.
  6. All artwork approval requests must be emailed to art@trmn.org.

Procedure

1. Submission of Artwork

  1. Emails Artwork in vector format to art@trmn.org, including all relevant forms.
Art Department
  1. Acknowledges initial email request within 24 hours by responding to email.
  2. Adds request to approval queue.
  3. Assigns artist to review artwork.
Reviewing Artist
  1. Reviews artwork.
  2. Consults with College of Arms if necessary.
  3. Makes suggestion to Art Director or designee to approve or deny (including needed changes).
Art Director or designee
  1. Reviews suggestions and responds to Submitter within 7 business days of original request.

2. Denial of Artwork

  1. Responds to Submitter with denial of artwork including reason for denial and a list of necessary changes to bring artwork into compliance.
    1. Possible reasons for denial may include (but are not limited to):
      1. Uses copyrighted art and does not include a release from the original artist.
      2. Does not follow the TRMN Style Guide.
      3. Is obscene or has negative connotation.
      4. Is not in the approved format for submission.
      5. Falls outside of the TRMN branding & marketing standards.
Submitter
  1. Makes necessary changes and resubmits artwork for approval.

3. Approval of Artwork

  1. Responds to Submitter with approval of artwork for use.
  2. Saves artwork to TRMN Synology for future use and reference.
Submitter
  1. May use approved artwork for the purpose(s) described in the approval email from Art Department.

Responsible Parties

  • Submitter – Any member of TRMN who creates a piece of artwork for TRMN use.
  • Art Department – Responsible for reviewing all TRMN organizational artwork - art@trmn.org.
  • Art Director – The person responsible for oversight of the Art Department.
  • Reviewing Artist – A member of the Art Department staff who is trained in the artwork, branding and marketing standards of the organization.

Definitions

  • Artwork - Any Illustration, Painting, Digital Graphic Media, Photography, Audio, Video or Textual Creation.
  • Vector Graphic – Computer graphic images that are defined in 2D points, which are connected by lines and curves to form polygons and other shapes.
  • Raster Graphic – Computer graphic which is a bitmap image, a dot-matrix data structure that represents a general rectangular grid of pixels (points of color), viewable via a monitor, paper or other display medium. These are unacceptable for submission (examples include .jpeg, .gif, and .png).
  • .svg - Scalable Vector Graphic file format.
  • .ai – Adobe Illustrator file format.
